Filling machine URS template.

Build a user requirement specification covering product, container, performance, controls, cleaning, integration, safety, acceptance and aftercare.

Before quotation

Describe the result the production system must deliver.

A clear URS reduces assumptions, makes quotations easier to compare and gives factory and site acceptance tests a defined basis.

Good requirements are

  • Specific enough to test
  • Based on representative products and packs
  • Clear about what is included and excluded
  • Prioritised as mandatory or desirable
  • Owned by named project stakeholders
URS structure

Nine sections to complete before the final machine selection.

The downloadable files contain individual requirement rows, acceptance evidence fields and owner/status columns.

Project and scope

Business objective, product families, production site, line boundary, future expansion and responsible stakeholders.

Product data

Viscosity at operating temperature, density, particles, foam, abrasiveness, shear sensitivity, hazards, allergens and cleaning method.

Container and closure

Material, dimensions, opening, stability, fill height, closure type, cap torque, label and coding area.

Filling performance

Minimum/normal/maximum dose, required output, accuracy method, repeatability, drip control, fill profile and reject handling.

Automation and controls

Manual, semi-automatic or inline operation; recipes; user levels; alarms; data; interfaces and remote support policy.

Utilities and environment

Electrical supply, compressed air, extraction, wash-down, ambient temperature, hazardous area classification and available space.

Line integration

Infeed, conveyor height, accumulation, capper, sealer, labeler, coder, checkweigher, reject and end-of-line equipment.

Safety and compliance

Applicable regulations, guarding, emergency stops, isolation, instructions, conformity documents and site responsibilities.

Acceptance and handover

FAT, SAT, training, manuals, drawings, spares, warranty, maintenance plan, response route and final sign-off.

Acceptance criteria

Write tests that can be observed, measured and signed off.

Weak wordingStronger requirement approach
“Machine must be fast.”State required good packs per minute with the named product, container, fill volume and agreed operating conditions.
“Filling must be accurate.”Define the measurement method, sample plan, product temperature, allowable result and how startup packs are treated.
“Easy to clean.”Define products, allergens, cleaning method, disassembly tools, target changeover time and inspection points.
“Works with our line.”Define interfaces, conveyor height, controls handshake, upstream/downstream rates and responsibility for integration.
FAQs

Filling-machine URS questions.

A user requirement specification records what the production system must achieve, the product and pack conditions, interfaces, documentation and acceptance requirements.

Usually the requirement should describe the needed outcome and constraints first. A model can then be proposed against those requirements.

Agree the product or simulant, containers, fill range, sample size, run duration, output, accuracy checks, cleaning demonstration and evidence to be recorded.

No. It helps organise project requirements but does not replace machinery risk assessment, workplace risk assessment or competent legal and engineering advice.

Turn the planning work into a practical machine shortlist.

Send your product, fill range, container, output target and available footprint. Lancing UK can compare the most practical filling route before quotation.
